You provide top-level administrative support and assistance to the Executive team members of the European Head Office.


LET’S TALK ABOUT YOUR RESPONSIBILITIES!

  • You support your Executives or directors on different levels, such as performing research work and conducting specific projects, maintaining a CRM system, coordinating communications, organizing events (such as company presentations, conferences, and site visits), maintaining internal calendars, and assisting with the preparation and distribution of various company materials through multiple channels. This may also include updating sections of the corporate website as needed.
  • You support your Executives with the management of the various teams. This includes, but is not limited to agenda management, the handling of correspondence and phone calls, the preparation of presentations, expense reports and travel bookings.
  • For certain events, you are in charge of supporting the organization of different meetings in Europe including travel and hotel arrangements, the drawing up of meeting agendas and coordination with the local contact person.
  • You will have the opportunity to support the various teams on a range of tasks, including contributing to specific projects and assisting in interactions with external stakeholders.
  • You will drive further standardization of processes, by creating process descriptions, flow charts and checklists, together with the various teams and proactively identify opportunities to enhance team workflows and processes.
  • You will also assist in delivering and finalizing certain annual and semi-annual reports such as the Annual and Half-Year Reports.
  • You may also be required to participate in meetings, to take the minutes and to follow up on action items.

LET'S TALK ABOUT YOU

  • You have a proven track record of a minimum of 5 years of experience in a similar role within a European environment.
  • A bachelor’s degree in fields such as Business Administration, Communications, Organizational Management, or Languages is beneficial but not required.
  • You are fluent in English, both written and verbally. French and Dutch are a plus.
  • You are comfortable working with financial documents and numbers.
  • You have a strong knowledge of the Windows environment (Office 365, Outlook, Teams, SharePoint, Word, Excel, PowerPoint, etc.).
